Who We Are

The Sentinel-1156 bot and Server 1156 Galactic Frontier Hub are operated by the AegisNet project, based in England. This policy covers data processed in connection with the Sentinel-1156 Discord application and the associated Discord community server.

Data We Collect and Why

We collect the minimum data necessary to operate the community safely and effectively:

Third-Party Bots and Services

The Server uses third-party Discord bots to operate. Each has its own privacy policy:

• Carl-bot — carl.gg — handles reaction roles, welcome messages, and moderation.
• Dyno — dyno.gg — handles custom commands and moderation logging.
• Apollo — apollo.bot — handles event scheduling and RSVPs.
• MEE6 / Arcane — mee6.xyz / arcane.bot — handles XP leveling and rank progression.
• Discord Inc. — All activity on Discord is subject to Discord's own Privacy Policy at discord.com/privacy.

We do not control the data practices of these third-party services. We encourage you to review their privacy policies directly.

How We Use Your Data

Data collected is used exclusively to:

• Assign and manage server roles and guild memberships.
• Log moderation actions for server safety and accountability.
• Enable the XP leveling and community progression system.
• Operate automated bot functions (welcome messages, event notifications).
• Investigate reports of rule violations.

We do not use your data for advertising, profiling, marketing, or any commercial purpose.

Data Sharing

Your data is never sold, rented, or shared with any third party for commercial purposes. Data is accessible only to:

• The server Operator (server owner).
• Appointed Wardens (moderators), limited to moderation records relevant to their duties.
• Third-party bots as described in Section 3, within the scope of their operation.

We may disclose data if required to do so by law or to protect the safety of the community.

Your Rights

Under UK GDPR and applicable data protection law, you have the right to:

• Access — request a copy of data we hold about you.
• Rectification — request correction of inaccurate data.
• Erasure — request deletion of your data ("right to be forgotten").
• Restriction — request we limit processing of your data.
• Objection — object to processing of your data.
• Portability — request your data in a portable format.

To exercise any of these rights, contact the Operator via Discord (#alliance-table) or via aegisnet.org.uk. We will respond within 30 days.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk if you believe your data has been handled unlawfully.

Data Security

We take reasonable technical and organisational measures to protect data from unauthorised access, loss, or disclosure. The Sentinel-1156 web presence is hosted on a self-managed Hetzner server with SSL/TLS encryption enforced on all connections.

No system is perfectly secure. In the event of a data breach affecting your rights, we will notify affected Members without undue delay.

Children's Privacy

The Server is not directed at children under 13 years of age, in line with Discord's minimum age requirement. We do not knowingly collect data from anyone under 13. If we become aware that a Member is under 13, we will take steps to remove them from the Server and delete any associated data.

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be announced in the #high-command-dispatch channel with reasonable advance notice. The effective date at the top of this document will be updated accordingly.

Continued use of the Server after changes take effect constitutes acceptance of the revised Policy.

Governing Law

This Privacy Policy is governed by the laws of England and Wales and is written in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
